How (and Why) to Embrace Team Meetings

How (and Why) to Embrace Team Meetings

Team meetings help to inspire, motivate, and strengthen your team.

Gone are the days where departments in a business don’t talk to each other. With open space offices and seamless communication, more and more businesses are integrating every business and every employee into meetings and decision-making. While many businesses choose to hold their weekly meetings on a Monday morning, success has been found in holding a meeting mid-week. A meeting first thing on Wednesday morning helps to get employees over the mid-week hump, as well as keep them on track for weekly and daily goals.

With that said, it’s not hugely important which day of the week you choose to hold you meeting. What is important is that you have them. A team meeting gets everyone on the same page to discuss the business, ideas, and help to solve pressing issues.

To help you schedule and structure your team meetings, check out this basic guide.

Week 1
Share concerns and compliments from clients and customers. Take the time to review recent reviews of the company and staff, so that you know where there are issues and how it can be solved – and share this with your staff. If there is a certain critique, ask the team the different ways in which to approach the issue. This bonding exercise helps to inspire teamwork as well as a solid service record.

Week 2
Week two should generally be about the number. Talk about retention, new business numbers, and add a bit of the financial figures in there to hit home. Share with your team where the company is and where you want to go with it. The goals should be posted in multiple places around the workspace so that none of these discussions are a surprise. Look ahead and work with your employees to improve the numbers daily, weekly, monthly, and annually.

Week 3
Now that you’ve addressed concerns and numbers, dedicate this meeting to be about goals. Do a quick run-down of everyone’s progress and how close they are to monthly goals. It’s a chance to find out if anyone needs help to reach his or her goals.

Final Weeks
In the last meeting (or two) of the month, discuss product and policy changes. We also talk about marketing ideas and plans for the months ahead. We open the floor for questions, comments, and concerns.

A Referral Program That Gives Back (an Excerpt from Mike’s Book)

An excerpt from Mike Stromsoe’s book:

In the early days of our referral program, we hadn’t figured out our strategy in full, but we knew that we needed to do something—and then turn that something into a permanent promotional process. So, we started by sending out a letter. Every time someone sent us a referral—whether or not that referral became a customer—we sent a thank you letter that included a lottery ticket. The letter would say something like, “Thank you for your referral. I really appreciate it. Because I was lucky enough to get your referral, here’s a lottery ticket. Good luck!”

A friend of mine who had referred a lot of business to me actually won some money from one of the tickets. I saw him at a weekly networking event after he had won, and he ran up to me and said, “Mike, guess what? I won $116 from the lottery ticket you sent me last week!”

That got me thinking all during the meeting, and afterwards, I asked him if I could take a picture with him holding up the lottery ticket. Underneath the picture I would add a caption like, “Jim won $116 by telling someone he knows about our agency.” With that photo and caption, we created a green flier (since green is the color of money) that explained to people how they could also win.

We started sending out those green fliers with everything we mailed—and I do mean everything. We sent them in bills and letters and notifications of all kinds. Pretty soon, our referrals started increasing. It felt magical. Once the referrals started coming in, we made sure we continued to recognize the people that were referring us business by creating letters (with the lottery tickets included)—and of course, we’d include another green flier with the lottery ticket to keep the momentum going.

That is how our referral system was born, and it has continued to consistently work for us. After we had that system in place for a while, we decided to do even more to stand out, and to improve the program. So, we started partnering with some of our other client business owners. We contacted a client who owned some pizza shops, and I told him, “I’d like to give away a pizza for every referral, and I’ll pay you $ for every pizza we give away.”

Without hesitation he replied, “That’d be great.”

What type of referral program can you start that could benefit not just your client but your community too?

Thank Your Clients Uniquely

Thank Your Clients Uniquely

Sending a simple “thank you” can go a long way in creating a strong connection with your clients.

It’s incredible how far a “thank you” can take you when it comes to your clients. Customers spend more, and vendors are more likely to pay on time if they receive a regular thank you. But when it comes to showing your appreciation towards your clients for their business, it can be tough to find a balance between staying professional and creating a personal connection. Simply saying “thank you,” doesn’t feel like it’s enough, especially for those clients with whom you hold in high regard. Here are a few tips on how you can thank your clients in a unique fashion and hold professional integrity while creating a personal connection.

Send a Personalized Gift

Everyone loves getting gifts, and that includes your customers. If you want your “thank you” to be unique, make sure to think outside the box. Here are a few ideas you can use to spark some inspiration:

  • Coffee mug
  • Wine glasses
  • Beer mugs
  • Gift basket with favorite treats (e.g. brownies, fruit, et cetera)
  • Leather-bound journal
  • Bottle of their favorite wine or spirit

Write a Handwritten Note

There may be no better way to let your clients know how personal your “thank you” is other than writing a handwritten letter. It signals to them that you took time out of our day to foster this relationship. When crafting your letter, stay focused and be specific. Find a way to say how their business has influenced you and your business, and include details of the relationship you both have fostered. This personalized letter will make your message more meaningful and will increase their motivation to work with you again.

Is Your Direct Mail Campaign Being Opened?

Is Your Direct Mail Campaign Being Opened?

You can do a few things to make sure that your direct mail campaign is actually being opened and read, rather than go straight into the recycling canister.

A few lines of code can tell you if your email campaign was opened and if anyone interacted with it. In some twisted irony, we now tend to see emails as annoying and see physical mail as a pleasant surprise. But lines of code can’t help you determine whether your physical mail got opened. So how can you make sure that your direct mail campaigns are being opened?

Once your mail makes it into the hands of your target market audience, the next step is to make sure that they actually open it. You want to use a format that will appeal to these potential clients. Every market has its own unique qualities to which you must forge your campaign.

The best way to find out what your market likes is to see and observe what the biggest mailers in your industry send – typically a large corporation.

  1. Identify the biggest direct marketing company in your field and study what they mail. If you do not know the biggest mailer in your niche, you can contact a list broker and ask them who sends mail to the biggest lists in your market. You can get then an idea of what they are sending.
  2. Get samples of their mailing pieces. The best way to get an idea of what they are mailing is to actually receive their mail. If you feel uneasy about contacting your competitor, you can always you sign up under an alias or use a P.O. Box to ease your tensions.

Direct mail does not have to be complicated. Contact Mike Stromsoe’s Unstoppable Profit Producer in order to start producing results that were once considered impossible. Call 800-770-9984 today!

Social Media Tips for Independent Agents

Social Media Tips for Independent Agents

Social media is essential for every business in the modern age, but if you did not grow up with it, as Millennials did, it can be a bit confusing–especially for independent agencies.

For most independent agents, social media is a time wasting hobby at best and a thing at which they scoff at worst. What may have started as the latest fad with the young whipper-snappers has now transformed into a social and entrepreneurial necessity. Social media is classified as something that all independent agents have to do. If you don’t even know where to start, here are a few social media tips which should help you get started on the right foot.

  1. Start Small
When it comes to implementing your social media marketing strategy, you have to set reasonable expectations. If you get about 50 customers in your business per week, it’s unreasonable to expect 500 new followers. If your marketing team is dependable, you should see a slow and steady increase which will meet your goals.
  2. Act Quickly
If there is urgent news regarding your industry, jump on as quickly as possible. Share relevant and factual news regarding the change and how it will affect your customers. Remember that hundreds and potentially thousands of people will see what you post, so it’s best to avoid so-called “alternative facts.”
  3. Third-Party Content Can Help
One of the biggest obstacles that stand in people’s way of posting is not knowing what to post. Third-party content can help with your posts! Just be sure to source your material.
  4. Plan Ahead
When it comes to social media, customers and followers like to see regularly scheduled posts. Creating an email campaign is also a great way to reach out to clients.

Social media is something that is no longer optional for anyone.  Contact Mike Stromsoe’s Unstoppable Profit Producer Program for tips and help on how you can generate new income for your insurance agency business.

What Explains Performing Campaigns but Client Turnover?

What Explains Performing Campaigns but Client Turnover?

Your marketing campaigns may be performing extremely well yet you see customer turnover, what gives?

Customer turnover is inevitable. Perspectives and people change, and sometimes paths must diverge. But when you are delivering great results and they suddenly head for the door it can be puzzling and can often feel a bit personal. What could you be doing that all but forces your clients to break ties with you?

Client turnover essentially comes down to two things: maintaining your value to your clients and trust. And the biggest place to look to fix these aspects of life is not at your customers’ life, it is from within.

Who deals with a majority of your clients? It’s your employees. You, as an employer, may not have given your team members enough of a reason to care about your customer experience. Perhaps even worse, it was also you who did not care about your own employee experience. The two are inextricably connected. Your client experience will never be great if your teams experience is not either.

If you or your employees don’t see the value in treating customers well, your customers won’t see the value in staying with your business. If you weren’t being treated well, would you stick around or go to another business where you will be treated right?

It is up to you to fully communicate the purpose of your goals in order for them to trickle down into the experience of your clients.

In order to get to the root of the problem, you have to make sure that you have the right team and that they are properly trained. Training in empathy and compassion are the best way for your employees to understand that the person on the other line, your clients, are people with their own legitimate experience.
